The position
BACKGROUND
The Om Habibeh Foundation (OHF) is an Egyptian non-profit organization
established in 1991 under the supervision of the Ministry of Social
Solidarity. OHF is the implementation agency for the Aga Khan Foundation Egypt
and is an affiliate of the Aga Khan Development Network of organizations and
was founded by Om Habibeh Sultan Mohamed Shah Aga Khan to contribute to and
support local communities in the Governorate of Aswan in areas including
health care, education, and providing income for deprived communities through
long-term development activities. OHF works in the following areas: Continuing
Education, Civil Society, Agriculture and Food Security, Economic Inclusion,
Women Empowerment and Early Childhood Development.
POSITION OBJECTIVES:
The incumbent will be responsible for ensuring that the organizational and
administrative activities of the office duties are completed efficiently and
effectively, through performing various administration, and logistic
activities.
S/he will be responsible for the travel logistics, administration-related-
issues, procurement, facility maintenance and cleaning, and contracting
activities. All shall be in coordination with concerned units.
CORE RESPONSIBILITIES:
Carry out and coordinate administrative and logistics activities.
Schedule work assignments, set checklists and routine tasks sheets,
priorities, and manage the work of subordinates.
Respond to queries and ad hoc requests, communicate, and provide support in a
timely, friendly, and efficient manner and cultivate strong stakeholders’
relationships.
Proper record keeping and filing system.
Perform various contract administration functions.
Manage all the car requests and transportation matters, such as car tracking,
regular maintenance, drivers’ schedule, ... etc.
Achieve financial objectives by anticipating administrative requirements,
budget management in coordination with the Operations Manager.
Handle all hotel reservations requests, as well as the travel request
arrangements, such as booking air tickets, ... etc. for office visitors or
travelling staff.
Prepare documents for processing hotels, airfare & external car rentals
payments.
Maintain the Petty-cash operations i.e., replenishments and disbursement
requirements of electricity, water, telephone, and internet bills,
refreshment, stationery, … etc.
Assist in scheduling and organizing in-house and external events.
Prepare regular progress reports pertaining to administration activities.
Responding to telephone calls and sending faxes as needed.
Performing any other duties assigned by the management team.
Managing the day-to-day operations and performing other administrative tasks
as required.
The requirements
QUALIFICATION & EXPERIENCE:
EDUCATION:
Bachelor’s degree in commerce or business administration or an equivalent
certificate in any other related discipline.
EXPERIENCE:
3-5 years relevant admin experience, preferably in the field of development.
Very good knowledge of Microsoft Office applications (word, excel, power-
point, … etc.).
Knowledge of computers and electronics is an asset.
Customer service oriented and ability to exercise sound operational judgment.
Excellent verbal and written communication and presentation skills in Arabic &
English.
Ability to interact well with partners and staff.
Ability to identify complex problems and review related information to develop
and evaluate options and implement solutions.
WORKING CONDITIONS:
In-office.
Normal conditions for an office environment.
