Purpose of the position:
To assist the Plant HR manager in the continuous improvement of the function,
providing support to the Management team .
The HR & Admin executive also has responsibilities to the over plant and
central HR function by following Ball's group control frame work
Key responsibilities include:
* To follow and maintain organisation's SOPs and safe working practices.
* Comply with all legal requirements related to environment and safety
* Comply with Ball's Integrated Management Systems (ISO9001 / ISO14001 / OHSAS18001) & BRC/IoP standard, Smeta Standard.
* Monitor and responsible for Statutory compliance of various industrial laws including labour law related to payroll functions
* Support during audits and provide accurate data to audit team and compliances.
* Weekly follow-up on attendance & Leave Management records.
* Vehicle management: Manage employee vehicle e.g. bus for company employees, car service provided.
* Support for Hotel and guest management. Give direction and strategy to peers and staff
* Hotel & Travel, Vehicle booking , Food Arrangement for guest, visitors, Expats & employees as and when required.
* Daily follow up and Update with housekeeping, catering, Vehicle Vendor for Good keep of all office Regular requirements.
* Courier management, courier record keeping for inward - outward & their tracking, with the support of Security
* Guest Management at office.
* Responsible for Housekeeping and complete cleanliness of office Premises.
* Conference Hall & Meeting Room management
* Should be good at data entry & MIS Management
* Support the HR Team on various MIS requirements.
* Control and update the employee's vacation balance.
* Quarter follow-up meeting with line managers to review vacation balances and ensure following vacation plans to allow employees finalize their balances during the year.
* Control the Medical services provided and control the Medical Budget.
* Support Employees with all Medical requests/complains.
* Implement quarter medical service survey and lead the meeting with the service provider to discuss any suggestions, requests or complaints we have.
* Manage Catering Services inside the plant.
* Lead regular audit for catering service provider in coordination with EHS & Quality dept. including checking their facility, control systems and process.
* Arrange & coordinate team buildings and different employee events
* Manage Employee feedback surveys on team building, events and activities.
* Audit, update and upgrade the working place in plant (offices, facilities and meeting rooms).
* Coordinate booking and arrangements of all internal and external trainings.
* Maintain knowledge of Embassies requirements and reporting new regulations for all visa types.
* Handling the Business visa applying process and arranging the requested documents for employees and visitors.
* Record and forward bills to the accounting department after approval of HR HOD.
* Continuous Support in Plant and Engineering Projects. Including setting employees and contractors schedules and managing all the needs and requirements during projects like meals, transportation ..etc.
* Create Admin & HR PRs on SAP
* Support the Supply Chain dept. in making deals with different hotels and travel agencies and updating it.
* Communicate with employees All internal and external announcements.
* Provide Safety Induction when needed (EHS Committee)
Knowledge and experience required:
* Degree in any discipline preferably in commerce /HR
* 5+ years relevant experience with good HR knowledge
* Should always be resourceful.
* Should be very good in communications both written and verbal.
* Should have documentation and analytical skills
* Good computer skills - ability to manage via computerized data
