The purpose of this position is to provide administrative and clerical support
to the Rolling Stock & Depot Section of Dubai Metro (Engineering & Maintenance
Department).


MAIN RESPONSIBILITIES The Administration Officer will be responsible for
providing administrative and clerical support to the Rolling Stock & Depots
Section including official letters, emails, reports and minutes of meetings.
Responsible in scheduling meetings and coordination of appointment diaries,
filing system and records. Responsible for daily updating of data and
preparation of daily and weekly reports as required by the department.
Responsible for monitoring training documents required for Rolling Stock &
Depots section. Maintain soft copies of standard templates and formats to
facilitate consistent & efficient documentation. Create and maintain an
efficient filing system. Coordinates company events including
briefings/presentations to make sure it runs smoothly and successfully.
managing details like location, selecting menus, accommodation and
transportation. Ensure that written correspondence and internal letters are
distributed to the concerned department/people. Assist in the preparation of
engineering & maintenance monthly reports. Assist in the preparation of
presentations, proofreading/ formatting documents, and assisting with
correspondence, memos, charts, tables, graphs, plans, etc. SAP user – Site
Purchasing Coordinator. (SRM, Trips, Petty Cash). To perform as My HR super
user, provide support and act as the first point of contact for employees in
relation to the use of My HR Employee Self-Service. Perform and carry out
other duties as instructed/directed by the Rolling & Stock Depots Manager.


KEY SKILLS
Perform advanced clerical or administrative work requiring excellent
communication and coordinating skills. may also coordinate the work of a small
admin team consisting of ‎2 or ‎3 staff. Possess strong PC skills including
proficiency with MS Outlook, Word, Excel and PowerPoint applications and the
ability to learn new software-based applications. Strong organizational
skills, detail-oriented, and the ability to handle multiple priorities and
ability to maintain confidentiality in handling highly sensitive, confidential
and non-routine information.


EXPERIENCE
Must have a minimum ‎3 years of working experience in providing administrative
and clerical support to a group of individuals in a fast-paced environment .


EDUCATIONAL QUALIFICATION Mush hold a vocational trade certificate, diploma,
or degree in a related discipline.
