Job Description
The Role
Informa Markets is looking for an Executive Assistant to ensure the executive
office functions as effectively as possible in meeting its planning,
organizational and communications responsibilities.
The EA role will provide administration and coordination support, including
inbox and diary management, meeting and travel coordination as well as
communication assistance to the Dubai based executive team (President, Chief
Marketing Officer and Executive Vice President). The role will also assist
business planning and stakeholder management presentations. The role will
involve working within a fast-paced, complex global environment and will
require independence and initiative to ensure any potential obstacles such as
changing requirements are managed effectively to ensure minimum disruption. It
will also be essential to be able to prioritise and manage multiple and varied
activities simultaneously.
The successful candidate will have great organisational skills, a strong bias
for action and the ability to multitask effectively. We are looking for a
someone who possess the ability to complete tasks and projects, react with
appropriate urgency to situations that require a quick turnaround, and
efficiently and proactively solve difficult or complex problems.
Job Summary/Responsibilities
* Acting as an Assistant to the EMEA President, supporting with diary management across multiple time zones, organising meetings and providing appropriate briefings and reminders
* Arranging travel, transport, and accommodation for the Dubai executive team (flights, hotels, visas etc.), including collating and filing expenses when required
* Liaising with senior management team members and external partners as necessary
* Processing all corporate expenses and coding invoices for the Dubai executive team.
* Organising team meetings, training sessions and other occasional events
* Co-ordinating internal presentations for regular strategic review meetings
* Working with the communications team to plan and execute the internal and external communications plan
* Support the recruitment and onboarding of new team members
* Acting as single point of contact for various Informa Group functions

Skills required
* To be successful, you will be a proactive EA with proven experience effectively supporting senior leaders in a fast-paced environment
* You will ideally have previous project management experience
* You will have excellent communication skills and be adept at working in a fast-paced environment
* You will have the ability to handle administrative details independently, while exercising good judgment in keeping team members adequately informed
* You will have extensive experience of diary management and travel arrangements
* Expert level skills using Microsoft Office 365 are important
Desired
* Experience using project management tools/platforms would be a plus
* Experience working with agile methodology in a transformation environment would be advantageous
