Introduction

Role Summary
The Lead Logistics and Warehouse Co-ordinator reporting to Material Manager
will be an integral part of Materials Team, working collaboratively within the
AIP organisation, systems, procedures, and methods. He/she is accountable for
the management of all logisctics and warehouse matters arising from
vendor/suppliers/yards/subcontractors throughout the procurement cycle from
Purchase Order to sail-away from yard and ensure that all materials/packages
are delivered timely, in a cost-effective and complete condition along with
complete documentation in accordance with contract requirements and are fully
accounted for during the execution phase until handover to operations team.

Function

Accountabilities
- Ensure that all logistics and warehousing activities are carried out in conformance with laws and regulations, contractual requirements, and the Altera Infrastructure
Management System.
- Develop, analyze and optimize the project logistics processes in association with Joint Venture, freight forwarder and Altera project team
- Ensure all packaging, transportation and shipping methods comply with local, state and international regulations
- Work with Joint Venture logistics counterpart and logistics agent/freight forwarder to ensure a timely and cost-effective delivery, transportation and receipt of procurement
packages and bulk materials
- Carry out all activities, for which he/she is responsible according to AP302 Purchasing Procedure, and other established Supply Chain procedures and processes.
- Co-ordinate with vendors, logistics partners and freight forwarding agent to ensue all logistics activities and documentation are in compliance with laws and regulations.
- Ensure all documentation and materials are checked thoroughly at dispatch from vendors/subcontractors delivery location and delivery notifications are provided timely
to the project team
- Ensure timely accounting and receiving inspection of all delivered goods and
discrepancies, if any, are followed-up with suppliers for compliance
- Co-ordinate with Yard in Dubai to ensure Customs clearance and delivery to yard for
goods are done in a timely and smooth fashion
- Keep track and traceability of vendor/subcontractor packages/bulk materials including
spares throughout the procurement cycle until handover to
construction/operations
- Work closely with Yard warehousing counterpart to ensure safekeeping, traceability
and adequate preservation of all project materials
- Co-ordinate with Altera construction/commisisoing/operations team to ensure spares and supplies for preservation/maintenance/start-up are available timely
- Establish and maintain warehousing operations in the Yard
- Keep track of quality, quantity, stock levels, delivery times, transport costs and efficiency for project materials
- Co-ordnate with freight forwarder and JV to document deliveries and process billing
- Maintain good relations with JV, freight forward and ientranl stakeholders
- Prepare weekly/monthly report for management

Requirements**
- Formal education within Procurement, Logistics and Supply Chain Management
(SCM) at minimum bachelor level, preferably master-degree or similar. Relevant
project experience will be assessed on same level as a master-degree.
- ‎10+ years of relevant experience within Logistics and Supply Chain Management, ‎5
years within oil & gas, ‎5 years within major capital projects.
- Experienced with handling of international logistics, cusoms and managing of logistics
agents with preference for experience in Middle-East
- Experienced in handing projects over a full procurement cycle
- Strong skills in documentation handling
- Strong negotiating skills.
- Strong communication, interpersonal and collaboration skills..
