Department Overview
The Student & Programme Administration department and the Student Experience &
Wellbeing department focus on providing all University of Birmingham Dubai
students with a wide range of high-quality services and support. This will
also support the University and our academic colleagues in the delivery of our
academic mission in respect of both Education and Research including:
* Welcome and induction activities
* Programme administration support and services
* Research administration support
* Visa and immigration services
* Information advice and guidance services
* Learning and library services
* Wellbeing services
* Academic Skills support
* Support to the University of Birmingham Dubai Students' Association
* General student administration through to graduation support.
Role summary
The post holder will be responsible for devising, implementing and delivering
a range of activity that supports a positive and enriching student experience,
in terms of mobility, and associated services (timetabling, Schools' liaison,
etc.). The post holder will support student mobility services, provide a range
of guidance, advice and support, particularly but not limited to:
Assist with the promotion of outward & inwards mobility and exchange
possibilities to University of Birmingham students and eventual partners
Advising and preparing both incoming and outgoing students participating in
international mobility opportunities, as well as liaising with overseas
partners, internal and external, where appropriate.
Inputting all mobility data into relevant systems, keeping it regularly
updated and producing reports based on that data.
The post holder will be required to operate flexibly to meet the demands of
the service, working collaboratively with Edgbaston colleagues, and in
addition supporting campus wide student experience activities and events.
Main Duties
General

Role specific
* Plan, implement and deliver student mobility experience activities, taking into consideration the academic cycle, for example organise pre-departure information session, specific events for incoming students during Welcome week, etc.
* Support student mobility as it develops at the University in relation to Incoming and Outgoing students from & to our UoB Campuses, and incoming/outgoing students from/to our university partners
* Maintain a schedule of incoming and outgoing participants in the relevant programmes and identify key deadlines.

* C ompiles and submits detailed statistical reports, participates in wider institutional reporting
* Operate the University's Student Record system and timetabling system to maintain and review information. Assisting in production and distribution of teaching timetables for programmes on the Dubai Campus as directed by the Head of Student and Programme Admin and working collaboratively with academic Programme Leads. Supporting the process of teaching space allocation, to ensure optimal allocation of rooms in keeping with the University's objective of making the most efficient and effective use of its space.
* Develop, coordinate, and distribute student communications and act as a key conduit to students, to ensure that everyone is well-informed and knows how they can participate in the various mobility offers.
* Work with the relevant academic staff and the various Schools to ensure a smooth student experience at all mobility lifecycle stages, through liaison and collaboration.
* Liaise with internal departments for provision of services to incoming and outgoing students, such as Registry, Student Wellbeing, Library, Careers & Employability, Finance Department, etc., as appropriate.
* Advise students on funding, maintaining a lawful immigration status, services available to them, and referring them to specialist student support teams, as appropriate.
* Ensure exchange and Year Abroad participants are identified and added to
* Organise orientation events, buddy system, providing support and information on how University systems and processes work at the University. Working with colleagues in Student Services to provide Bank letters and official letters amongst other services.
* Work closely with the Student Experience & Wellbeing team to support students around careers' advice, part-time work/internships where possible, housing options, etc.
* Providing first line support and response to student queries when working at our Dubai Student Hub.
Additional responsibilities
* To undertake such other duties as may be required from time to time, to further the work of the wellbeing services and the development of the student experience, or the University.
* Undertake continuous personal and professional development.
* Conduct financial and Health & Safety duties in line with statutory and University's policies and procedures.
Person Specification
* Educated to degree level or equivalent professional qualification(s).
* Significant experience of working in a professional environment; relevant experience of working in Higher Education is desirable.
* Experience of providing first-line advice and guidance.
* Significant experience of organising a large-scale mobility programme.
* Strong understanding of the student experience, issues, and the student lifecycle.
* Significant knowledge and experience of writing communications for a variety of different audiences.
* Ability to deal with complex requirements across a multi-campus organisation.
* Ability to work across campuses as required.
* Working knowledge of standard Microsoft Office software.
Dimensions
This role will require you to exercise personal initiative within and beyond
the department. You will not manage a team or budgets.
Planning and organising
* Develop, maintain and update the International Mobility website (Outgoing)
* and information packs/documents for staff and partners.
* To develop and manage high quality administrative processes to provide specialist centralised support to a large number of incoming/outgoing study abroad students, and to ensure the University of Birmingham remains compliant with relevant guidelines locally and internationally.
* Work with colleagues in developing an overview of the needs and aspirations of international students at the University.
Problem solving and decision making
* Provide a customer focussed and professional advisory service to both internal and external service users.
* Evaluate cohorts' numbers and advise on capacity of programmes and classrooms to accommodate new arrivals
* Counsel and prepare students on the cultural context and implications of living and learning abroad. Support and communicate with students studying abroad. Stay informed about local/world events that may affect safety and well-being of students and communicate effectively in a timely manner to relevant parties
