The Service
The Children and Families Services supports and protects Portsmouth's most
vulnerable children and young people enabling them to lead safer, healthier
and more fulfilling lives. It also acts as the corporate parent for the city's
Looked after Children.
An opportunity has arisen in the North Locality Team based at Civic Offices
for a Business Support Officer. This is a busy challenging role, perfect for
someone who enjoys working as part of a team and wants to do a worthwhile job.
Your New Role
As a Business Support Officer you will be providing high quality
administrative support to the North Locality team who provide interventions
for children and families. You will be required to organise reports and take
minutes in meetings, some meetings may be confidential and complex such as
strategy meetings and supervisions with social workers. You will be entering
data into the service information and caseload systems to ensure all records
are accurate. This role will ensure you deal with incoming and outgoing post,
making sure service users information is at all times protected. You will be
dealing with telephone enquired from mulita agencies, service users and
families making sure timely responses and children's safeguarding concerns are
signposted and responded to appropriately. You will be required to update
MOSAIC with decisions made to ensure they are all communicated in a timely
manner to all those involved. As a BSO, you will be arranging translators,
booking accommodation, rising purchase orders and ordering birth certificates.
You will be supporting Service Leaders and Team leaders with management
reports, diary management and typing.
What you 'll need to succeed
1. Have experience of working within Children's and/or Young People's
Services.
2. Have a basic knowledge of Safeguarding.
3. Be able to take accurate, detailed minutes of complex meetings which will
contain confidential and sensitive information.
4. Have excellent telephone, and face to face communication skills to be able
to deal with a very wide range of caller such as other agencies, professionals
and service users.
5. Be able to respond appropriately to enquiries from parents/carers who may
be anxious or emotional due to issues concerning the safeguarding and well-
being of children.
6. Be a good listener as you will need to get the right information from a
caller in order to put them in touch with the right people in the office.
7. To have strong organisational skills.
8. Have good working knowledge of Microsoft Office, Teams and confident using
IT systems (outlook/word/excel/databases) to undertake the admin tasks of the
role.
9. Have a good understanding of client confidentiality, Information
Governance and Data Protection.
10. Have good literacy and numeracy skills.
