Job responsibilities:
Out Source Position
Meeting/Event Planning process
Manage all activities related to travel for Amgen Egypt
Manage staff travelling request and ensure complying to travel policy
Accepts responsibility for efficient congress and event workflow and prepares
guidelines for the responsibility areas
Ensure activities being registered on systems within set time lines
Ensure all pre-event arrangements in terms of documentation, logistics and
execution are fully meet within/before time lines
Manage product launches, internal meetings, cycle meetings,
If required, participates in meetings and congresses on ground
Communicates, interacts and negotiates with external vendors i.e. congress.
Ensure all documents are kept in order and up to policy
Negotiate contracts for best practice deals
Manage biddings for cost effectiveness
Coordinates Budget and Payment Processes
Prepares costs estimate /budgets for relevant event / business for approval
process according to the approved budget
Ensures highest quality, optimum cost and on events and congresses in
accordance with corporate procedures.
Revise prevent /post events quotation
Capabilities:
Establishes excellent ability to learn and understand/adapt quickly to new
systems, processes and tools
Applies a methodical approach to completing all tasks
Demonstrates solid written and oral communication skills
Applies communication skills to conduct effective negotiations
Clearly presents information (spoken or written); communicates at various
organization levels
Listens actively
Takes a proactive approach to researching breakdowns in service, process or
information flow; resolves issues appropriately and establishes preventative
measures
Promotes teamwork and a service-oriented approach in all activities
