During your tenure as an Office Support Assistant - Associate, your role will
consist of supporting Business Partners, Leadership, Executive Admins and
other members of the team as a first point of contact for various general
secretarial, clerical and administrative support.
In your role, you will demonstrate and develop your capabilities in the
following areas which that include but are not limited to:
* Acting as a main point of contact for all incoming telephone enquiries (answer telephone, take messages, transfer calls and provide information to other departments upon request)
* Printing of Proposals and Financials, verifying every page on all copies, binding, replacement of pages, unbinding, etc.
* Maintaining the general filing system and filing all correspondence
* Leading all efforts to ensure office common areas and meeting rooms remain clean, efficient and hospitable
* Managing stationery, other general office supplies and office equipment, and ensuring supplies are kept at a consistent level and equipment is in good operational condition
* Responding to straightforward correspondence through email, written, telephone communication
* Scanning, Photocopying and Printing (Labels, Letters, and documents) assistance as per request
* Maintaining records of extensions of Deloitte employees, clients contact numbers
* Handling the preparation of paperwork such as engagement letters, cover letters, invoices and general letters
* Maintaining and preparing the excel sheet for the invoices on a monthly basis
* Liaising with IT and/or other parties to ensure meeting rooms' setups are up to standards (catering, audio-visual equipment and/or other
* Assisting office visitors by ensuring total compliance with safety and security policies and protocols
* Reporting to main stakeholders any breach of office security and/or incidents that may arise

Qualifications:
* Degree in secretarial skills or related field and/or a university degree
* An excellent telephone etiquette, verbal communication and strong interpersonal skills A positive attitude to dealing with people including staff, clients and suppliers at all levels
* Knowledge and ability to use proficiently standard office computer software, including word-processing, databases and spreadsheets
* Ability to use email and Internet applications
* Ability to work independently, including maintaining filing systems, databases and straightforward diary management
* Ability to maintain trust and confidentiality in the provision of administration support
* Advanced level of technical proficiency and computer literacy (Word, Excel, PowerPoint, Microsoft Management)
* Fluency in English (reading, speaking, and writing). Preference will be given to bilingual candidates (Arabic/English).
