The Position
We have an exciting opportunity for an experienced HR Shared Services
Specialist to work with a new project team as we investigate new opportunities
within Saudi Arabia. This position will be responsible for providing HR
support to employees, managers, and stakeholders within the HR function, for
KSA during this project period. Based on the findings, output and decisions
made from the project leads and management, this role may change throughout
the fixed-term period until we are informed of the way ahead. As a career
development opportunity within the project, the role itself will be based in
Riyadh Saudi Arabia and will report into the HR Shared Services EMEA Team Lead
in the UK proving you an opportunity to grow global/regional HR skills and
awareness, as together we support the possibility of a new future business
model in KSA.


Key objectives
* Managing core HR processes (hires, transfers, leavers) and related documentation in HR systems and respective government portals.
* Preparing and maintaining employment contracts (Arabic/English) changes and general HR services through the government portals
* Managing a timely onboarding process supporting with the collection of documents for right to work (licenses, work permits, background checks etc.) and securing their upload into the relevant portals
* Update government portals monthly / ad-hoc as needed with all changes related to employment
* Working with the EMEA HRSS Team and the KSA transformation project, reviewing current core HR processes (e.g., onboarding) and seeking ways to continuously improve and drive an excellent new hire/employee experience.
* Connect with internal departments such as finance, legal and government affairs, and third-party service providers as necessary to get input regarding HR legislation changes.
* Prepare monthly payroll reporting and follow up on payroll queries
* Manage employee files and related documentation in HR system (All files electronic and those held on the Gov Portal.)
* Utilize case management system tools (ESC) to respond to written inquiries from employees, managers, retirees, and family members regarding HR questions, issues, problems, letter requests and IQAMA renewals and status changes within defined SLAs and quality measures
* Document and improve processes as needed, by way of continuous input for improvement, especially in support of output from the project team
* Ensure compliance with appropriate data protection and labour
* Utilize and Build HRSM (ESC & KBAs) technology to track and manage inquiries
* Contribute to wider projects and initiatives within the HR shared Services team (Team meetings/Projects) as well as the dedicated KSA Project Team
* Participate in the on-going evolution of the Shared Services organization in terms of values, operations, and service delivery
Essential skills and experience
* Must have an interest and understanding of general HR policies and procedures
* Bachelor's Degree and min ‎4 years' experience handling HR processes
* Experience with the Saudi governmental platforms (e.g., QIWA, GOSI, MUQEEM)
* Saudi National
* Good level of English & Arabic language
* Will have a strong customer service orientation while maintaining a high level of integrity and confidentiality
* Must possess solid verbal, written, interpersonal and telephone communication skills
* Must be able to identify critical situations and take action to escalate where necessary
* Must demonstrate the ability to work in a team
* Must be able to multitask yet remain detailed-oriented with sound time management skills
* Must possess strong Microsoft PowerPoint, Excel, Word, and Outlook skills
* Must be able to perform role under minimal supervision
* Experience with Workday, Service Now or similar HR systems is desirable
