The key purpose of this role is to support the Project, Contract or Department
Manager in the coordination of all aspects of delivery of workstream(s) within
multiple projects or contracts.

The hiring for this role is subject to contract award.
Key accountabilities
Administer client correspondence processes
Administer key Client, Executive meetings – meeting invitations, response
agendas and input papers, minutes taking, maintenance of action registers
Preparation and co-ordination of inputs to monthly contract reports
Interface with end users and end customers – helping, supporting & guiding
Assist the Manager in implementation of key deliverables and monitoring their
progress, interfaces and dependencies
Assist the Manager in chasing up returns and inputs to reports
Co-ordinate with all concerned parties to ensure an efficient level of general
office support activities – e.g. filing, diary keeping, stationery, meeting
rooms management
Maintain soft copies of standard templates and formats to facilitate
consistent and efficient documentation
Create and maintain an efficient filing system
Coordinates company events including briefings/presentations to make sure it
runs smoothly and successfully, managing details like location, selecting
menus, accommodation and transportation
Ensure that written correspondence and internal letters are distributed to the
concern department/people
Assist in preparation of presentations, proofreading/formatting documents, and
assisting with correspondence, memos, charts, tables, graphs, plans, etc.
To perform as My HR super user, provides support and act as first point of
contact of employees in relation to the use of My HR Employee Self Service
Perform and carry out any other duties as instructed/directed by the Project
Manager.
What we are looking for in our candidates
Excellent communication and influencing skills in liaising with the project
team and external parties, including client’s staff
Highly organised and methodical in approach to work
Motivated and flexible to work in a time-sensitive environment to respond
quickly and effectively to unanticipated high workloads, events and
emergencies
Understanding of any of the following industries; healthcare, defence,
government services, facilities management, education
A dynamic, high-energy individual who can support several groups/sections
within a department
A mature and responsible approach to work and use initiative to solve problems
and be able to liaise in a professional and persuasive manner with staff at
all levels in the organisation
Strong organisational skills, detail oriented, and the ability to handle
multiple priorities
Ability to maintain confidentiality in handling highly sensitive, confidential
and non-routine information.
Specific requirements
Ideally a Degree holder or high diploma of post-secondary education in a
related discipline.
A minimum of 3 years of experience in a business support or project
environment
Excellent level of English & Arabic comprehension, spoken and writing skills
and in numeracy skills required to take minutes, prepare, edit, proof read
letters, reports, etc.
Excellent capability in Microsoft Office, particularly in Word and Excel and
ability to learn new software based applications
Qualification of Six Sigma certification is a preference (yellow belt/green
belt/black belt)
