Job description
ROLE OVERVIEW
Reporting to the Human Resources Business Partner, MENA; as HR Operations
Officer, MENA you will be responsible for supporting the administrative
functions of the Human Resources Department, and for supporting the Human
Resources Director & Business Partners to deliver a complete generalist HR
service to stakeholders both within EMEA and within our Corporate functions
based the US.
These services include (but are not limited to) document drafting, filing,
minute taking, responding to general HR queries, diary and travel management
and meeting management.
CORE RESPONSIBILITIES
Administration
* Creation of employee personnel files as new hires join the business
* Filing of all employee related documentation within employee personnel files
* Archiving personnel files as employees exit the business
* Responding to all reference requests received from employees and external third parties, in a timely manner
* Drafting of Offer Letters & Contracts or Employment
* Issuing 'New Starter Packs'
* Drafting of ad-hoc correspondence as requested by members of the Human Resources Team
* Support the Visa Process for Employees within MENA ensuring that all relevant Visa applications are made in a timely manner, and further ensuring that all Visa's remain valid for the duration of an employee's employment with the Company
* Support the Company's recruitment administration needs within MENA.
Generalist Human Resources
* Responding to generalist queries within skill-set and escalating queries where relevant to the Human Resources Business Partner, MENA where necessary
* Supporting the Human Resources Business Partner, MENA by means of minute taking at formal meetings, including (but not limited to)
* Employee Grievance Meetings
* Employee Disciplinary Meetings
* Performance Management Meetings
* Flexible Working Meeting
* Support the Director - Human Resources, EMEA and any appointed external legal Counsel in the collating of evidence and presentation of the Company defence at any legal hearings that might be issued within MENA
* Invoice administration relating to HR related activity (e.g. Legal Invoices, Benefits Invoices etc.)
* Provide administrative support to the New Starter Induction Process, for all new hires across MENA
Payroll & Benefits
* Support the Human Resources Business Partner, MENA and EMEA payroll Team with the collation of relevant Payroll data on a month by month basis.
* Prepare DEWS monthly contributions sheet and upload to portal
* Manage Medical & Life Insurance enrolments and removals
* Support the Human Resources Business Partner, MENA and EMEA Payroll Team with any administrative tasks related to the monthly Payroll processing schedule.
* Support the Human Resources Business Partner, MENA and EMEA Payroll Team to ensure all new starters are added to, and leavers are removed from, relevant company benefit schemes.

Learning & Development / Talent Management / Organisational Development

* Support the administrative development of 'issue specific' training sessions as required across MENA.
* Champion of the Company's values and vision, so as to ensure everyone is working towards the same objectives and behavioural expectations.


The HR Operations Officer, MENA will also be required to undertake any other
tasks which the Company deems to be reasonable and within the competency and
skill-set of the role.
The Company reserves the right to add to, remove and / or amend any of the
above noted Core Responsibilities as it sees fit, to support the operational
requirements of the business.

Qualifications & Education

* Educated to degree level or above
Knowledge, Training & Experience
* Prior experience in a generalist Human Resources administrative role
* Knowledge of labour laws within MENA
Skills
* Excellent attention to detail
* Ability to identify problems and provide solutions
* Excellent interpersonal and communication skills (both verbal and written)
