Role Purpose:
The People Operations Specialist owns the HR Operational lifecycle
administration. This includes, but is not limited to, data management,
processing system transactions, document production and stakeholder
notifications within the newly created UK Cairo Hub team. They should have HR
system expertise and experience in providing HR support in English. The People
Operations Administrator owns the data integrity on the HR system and are
expected to be the experts to enable timely and accurate transactions and
updates. This role is key in enabling simplification of HR processes and
promoting data based organizational decisions, by ensuring 100% accurate HR
data management across the systems as well as ensuring that documentation is
accurate and maintained.
Important Note - for a temporary period the parameters of the POA role would
initially be less than what is currently listed below. The role would be
developed to reflect the full list of requirements over time. The POA role is
required initially as part of a phased transition to set-up the new Unilever
Operational Hub in Cairo. In the coming 12-18 months, we would look to combine
the responsibilities of the POA and the Employee Data Specialist roles into
one holistic role reflecting the below requirements. We would reach this
through optimization, automation, and simplification of the current ways of
working, resulting in a more efficient team, that focus on providing the
highest standards of employee experience.
Job Key Responsibilities:
* Responsible for managing day-to-day HR operations effectively to provide proactive HR support to employees
* Manage and maintain employee records in Workday through JML lifecycle, including all end-to-end HR process e.g., initiate/correct joiner, mover, absence, and leaver activity
* Extensive documentation production and execution, docuSign creation, receiving and sending of documentation. Securing and electronic filing of documentation according to our data security (GDPR) requirements.
* Execute pre-onboarding administration, including pre/post-employee checks for new joiners and set up new employee records
* Maintain and update organizational structures, functions, and cost centres in HR systems
* Ensure utmost level of integrity and accuracy of all HR data while being compliance with data protection and security standards.
* 100% accountable for the accuracy and correctness of the country data. All data mismatches and corrections are to be owned and resolved.
* Provide support during the annual pay review, including all data validations, changes and updates, all APR annual activity to ensure timing and accurate processing of merit/bonus payments.
* Generate standard and customized excel reports for country stakeholders and HRBP's, utilizing all reporting sources from Workday, Vizier, One View, Power BI.
* Perform accuracy and compliance audits for self and team to ensure quality is achieved
* Support with interactions with Senior stakeholders.
* Driving simplification of HR processes and promoting data based organizational decisions as well as accurate HR data management across the systems
* Take corrective actions ensure and manage best-in-class employee experience while driving the various HR operation initiatives
Job Requirements and Skills:
* University Bachelor's degree
* Fluent French Speaker is a MUST
* Previous HR work experience preferred
* Proficient in using these platforms is an advantage: Workday, Service Now
* Good command in MS Office 365 (PowerPoint, Access, OneDrive, Outlook, SharePoint etc.)
* Proficient in using Excel to Intermediate or Advanced level
* Strong organization skills as well as attention to detail and due diligence
* Proactivity and problem solving
* Strong multi-tasking skills with a comfort in maintaining multiple, often conflicting, priorities, and deadlines
* Good interpersonal and communication skills, ability to interact and engage with both HR, Business stakeholders and expertise teams.
* Solid customer service and relationship management skills
* Ability to work independently as well as in a collaborative team environment
