Project Coordinator
Job Responsibilities
* Estimates project levels of effort and resource requirements by working with appropriate staff to understand the scope of effort.
* Co-ordinate Promotional activities, Sales , Country budgets , Tenders , Distributors Coordination by working with appropriate staff to understand tasks necessary to complete project.
* Directs project execution by assigning tasks, tracking project schedules, identifying risks, and developing and executing.
* Assures project quality using standard development methodologies and appropriate sheets and data.
* Communicates project status by preparing standard status reports, and by participating in departmental and customer project status update meetings.
* Resolves project issues by working with team members, project customers, and others as appropriate.
* Cultivates a wide range of internal networks and begins to develop an extensive external network of resources to facilitate the completion of tasks.
* Lead a project team.
* Provides guidance to less experienced staff and Acts as a mentor to lower level individual contributors.
* Estimate costs, resources, and time required.
* Proactively identify, monitor & manage project opportunities/ issues/ risks.
* Influence exerted at peer level and occasionally at first levels of management.
* Plans, organizes, and prioritizes own daily work routine to meet established schedule. (Decision Making/Impact) Exercises authority and judgment within defined limits to determine appropriate action.
* Understand the organizational impact of project issues and engage Sr Management as necessary.
* Follow up on the overall production and supply chain status.
* Conduct project meetings and prepare reports to communicate the project's status within and beyond the project team.
* Accrue country expenses ( promo & non-related).
* Update Actual spent per promo, cancel unused promos, ensure the actual promo budget per line does not exceed the plan, and set a promo budget meeting for FLMs for YTD spent.
* Support CM in budget control matters, Monthly budget tracking.
* Assists the President and organization (as needed) with meeting arrangements, calendar management,
travel arrangements, expense reimbursement, invoice processing, and other
administrative tasks as required.
* Applies a high attention to detail and creates a high degree of organization to ensure high work quality
* Lead a project team and direct project execution by assigning tasks, tracking project schedules, identifying risks, and developing and executing contingency plans.
* Tender & Private sales Coordinator:
* Consolidate TDR Sales and Order logs (Dated & A.P.R.) updates monthly.
* Sales analysis and supply versus inventory tracking sheets.
* Update PVT sales & FOC, forecast monthly for IDS, and lag ‎0 comments.
* Track Orders due dates & Shipment ETA, and share shipment reports monthly.
* Support on PVT stock issues & loan requests.
* Coordinate with distributors for tender orders and follow up to receive the POs before the supply deadline.
* Follow up on new TDR RFQs, and Quotations and submit Abbott Pricing Offers before the Closing Date.
* Pre-IDS monthly meeting with LT, Consolidate IDS changes & share IDS file to Supply department with the Tender forecast, and actual PVT sales& FOC from distributors reports.
* Calculate YTD Achievements Vs. plan per line & sector.
* LBE consolidation and submission to finance and supply dept.
* Tender consumption sheet follow-up responsibility, KW Satellite sheet Responsibilities (monthly update ).
* Follow up with distributors on debit notes, Review, secure approvals, and submit debit notes with complete documentation.
* Promotional activities, preapprovals, and invoice submission (per the policy).
* Secure all the preapprovals, Raise the requests on the system, proceed with invoices submission and clear all payments.
* Sample SOP follow-up, Monthly track, and quarterly reconciliation.
* Conducting meetings if needed with senior management on significant matters, often requiring the coordination of activity across organizational units.
* Hiring process for non-headcount and contractors.
Requirement (Education/ Experience)
* Any graduate with ‎3-‎4 years experience in managing projects related to MOH in Kuwait
* Knowledge of Kuwait regulations
* Should have Kuwait residence visa
