The Registration Officer's job duties and responsibilities are repetitive,
detailed, and flexibly growing to serve maximum efficiency. The incumbent is
expected to professionally perform the following tasks and in doing so s/he is
encouraged to create means to ease and speed up delivering their duties within
reason. All below listed tasks briefing is subject to development/expansion
according to the Registrar Office development and possible university
bylaws/policies amendments:



  • Issuing Students Official Transcript of Records:


o Receives application forms and meets verbal inquiries
o Sorts out requests and executes them within announced processing time
o Coordinates the process of obtaining authorized personnel signatures
o Coordinates (in some cases) with the Senior University Delegate for
obtaining the legalization of the Ministry of Higher Education on documents
o Delivers finished requests to students
o Files requests and keeps a shared databases holding requests history in
coordination with the Undergraduate Archives Specialist.



  • Issuing Students Official Letters of Enrollment:


o Receives application forms and meets verbal inquiries
o Sorts out and categorizes requests according to purpose, destination and
urgency
o Executes them within announced processing time
o Coordinates the process of completing forms and obtaining authorized
personal signatures
o Coordinates with Ministry of Higher Education (in some cases) for documents
authentication
o Delivers finished requests to students
o Files requests and keeps a shared databases holding requests history in
coordination with the Undergraduate Archives Specialist.


Offering direct client services: the Registration Officer is expected to serve
the following:


o Accommodate daily students and parents traffic, takes inquiries and
guides/directs them adequately in a professional and friendly manner
o Deliver high-quality, accessible services that meet their needs
o Provide accurate, timely and useful information to students in relation to
their course of study, enrolment, policies, services and processes
o Give accurate and comprehensive information
o Provide fair, transparent and efficient complaints and appeals procedures
o Respond to personal, telephone, email and enquiries from department members
o Report problems to Registrar Supervisor and Deputy and follows up their
solving process
o Ensure cleanliness, comfort and security
