This position works with senior staff and DvM Egypt office. Typically provide
efficient Admin Management & Business Support to Developing Markets Northern
Africa. In addition to providing Executive and Administrative Support to
Developing Markets General Manager.
Key Accountabilities / Responsibilities
Office & Admin Activities:
* Supervising day-to-day operations of the Office.
* Manage service delivery for all office related requirements
* Assign and manage office administrative budget and forecasts
* Manage office catering (pantry & in-house function) arrangements
* Manage office expenses and procurement requests
* Manage the office travel arrangements (for NA DvM Staff); locally and overseas.
* Ensure office is stocked with necessary supplies and all equipment are working and properly maintained.
* Handle all admin communications related to the office
* Manage special projects and track progress towards company goals (Office Move Project).
* Plan, schedule, and promote office events
* Manage Office lease agreement and all building maintenance activities
* Ensure a safe working environment and monitor employee discipline in accordance with safety requirements
GM Executive Assistance:
* Manage, coordinate and maintain calendar including appointments, meetings and travel to ensure efficient time utilization
* Support with all Travel, visa, hotel accommodation and logistic arrangements
* Handle e-expenses system.
* Facilitate business review meetings and events, both in Egypt and UAE.
* Secretarial support for meetings as and when required, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders.
* Support with any ad hoc request.
Local HR Activities
* Liaison between the global HR and the local office
* Manage Local Onboarding process, including; ensure laptop is ready on time, prepare employment contracts, maintain staff official documents, enrol staff in medical insurance, calculate leave days and add balance to Kiss flow, liaise with Egypt office to add staff to social insurance and life insurance.
* Facilitate induction training
* Manage Local Off Boarding Process, including; facilitate and ensure the return of company assists, facilitate handover, facilitate signing off all exit documents, remove staff from medical insurance and kissflow, liaise with Egypt office to remove staff from social insurance and life insurance
* Liaise with function heads to gather and update job descriptions
Competencies & Qualifications Required
* Educated to a minimum bachelor's degree level in Business Administration/Management
* 2-5 years of experience in an FMCG company (preferred)
