The Role
Our client is seeking an Events Coordinator to proactively assist the Events
and Partnerships Director and team in planning, preparing, and organising
events, and the delivery of our clients’ programmes. You will be responsible
for events and programme planning, management, and administration, proactively
liaising with members and non-members to promote event registrations and
achieving targets, and handling events logistics and ensuring the programmes
and events are administered smoothly and effectively. This role is only open
to Saudi Nationals, and you must be able to travel freely within KSA. Please

not currently reside here. Description: • Networking Events: liaising with the
Events & Partnerships Director to plan non-programme events • Liaise with the
Financial Academy for all participants, including permits • Secure
Accreditation/permits for events • Deal with vendors and suppliers and liaise
with venue for all physical events in KSA • Venue bookings and contract
negotiations • Assist with event registrations • Certification Programmes (DDP
and Board Secretary), all programmes and Membership Sales • Event Marketing
promotion in Arabic and English • Implement event plans and concepts while
monitoring timelines for the events • Create WhatsApp groups for all events •
Contact members on the day of event • Pack and print for all events in KSA,
including certificate printing • File documentation i.e., sign-in sheets and
membership forms • Branding at all events • Report weekly to the Events &
Partnerships Director • Follow the Events Procedures • Sponsors follow up for
non-programme events (if required/needed) • Manage budgets for non-workshop
events • Manage risk at events • Generate post-event reports • Ensure that all
invoices are issued on time and are pre-paid • Liaise closely with the
Accounts & Admin Manager and ensures all records are up to date • Pass on all
contacts promptly to the Membership Team to keep the CRM updated • Any other
reasonable duties or tasks as requested
Requirements
Criteria: • Must be degree educated • Minimum of 3 years’ experience in
similar post • Strong customer service and relationship-building orientation •
Highly organised and able to handle multiple events • Excellent communication
and marketing skills • Enthusiastic and “can do” attitude • Good time
management and ability to meet short deadlines • Excellent interpersonal
skills • Good negotiation skills and commercial judgement • Openness,
adaptability, flexibility, and mobility • Excellent writing, editing, and
verbal communication skills • Have a high level of co-ordination and record
keeping • Ability to handle multiple tasks and deadlines with limited
supervision in a fast-paced environment and remain calm under pressure • Solid
IT and technical skills including PowerPoint, Excel, CRM, Zoom etc. • Ability
to understand and appreciate the “bigger picture” of our client and their role
within it • An understanding of Membership organization and/or Adult Training
and Education would be an advantage • Analytical, logical with good problem
solving and decision-making ability • Ability to conduct business interactions
independently and as part of a coordinated team • Must have a high standard of
written and spoken English • Must be a Saudi National • Must be able to travel
freely throughout the Kingdom as required • Must currently reside in KSA
