Job Description
‎1. Document Management System
* Implements a system that ensures effective management of internal documents and records (Note: Documents include those in electronic medium.)
* Responsible for the strict implementation of the documented procedures for documents and records control. He/she must ensure that all control measures specified in the documented procedure in terms of creation, review, approval, identification of changes & revision are being respected.
* Coordinates with the process owners and the identified representative per department so as to ensure timely update and review of all documents at any point in time.
* To include a developer and an approver for area with responsibility mentioned in the document;
* To include the normative document in the Intranet platform, as well as its changes and/or subsequent revisions;
* Print the normative documents when requested and control any printed documents, ensuring the proper and timely distribution;
* Withdraw the printed copies of the obsolete documents and archiving according to the relevant procedure.
* Updates the Master list of documents and records, as well as the database of the previous revisions, ensuring the traceability of the documents and records changes for audit purposes.
* Ensures that all updated versions of records are available for Public use, locked and backed up in case of any accidental deletion;
* Periodically perform inspection of forms in use to control the use of the revisions in force;
* Implements all corporate rules or methodologies regarding Document Management System and its maintenance;
* Ensures that the last updated Corporate norms from all areas of IMS and forms are referenced in internal procedures and area owners informed on the changes;
* Ensures that Master list of external documents is regularly updated.
‎2. Administration of the project's and program's data.
* Ensures regular updates of the actions plans trackers for all projects and programs that Management System Team is involved;
* When required by Management System Coordinator, collect the data, analyses the data and prepare the graphs for the meeting presentations, for the projects in scope of the superior.
‎3. Trainings
* Prepares all printed material for the training to be conducted by Management System Coordinator; and necessary forms to be filled in;
* Updates the training kits;
* Assist in more advanced trainings or its preparation upon the request of the Management System Coordinator;
* Conducts induction and/or refresher trainings on Management System;
‎4. Participation in Management System Programs, Projects and other activities
 Follow up the provision of visual boards, stickers, beacons, tags and other
material necessary for implementation and support of the programs;
 Supports 5S program organize the evaluation schedule, follow up evaluation
reports, beacon placement, elaborates final reports, performs 5S routes,
conducts the meetings etc.;
 Participates in HSE working group activities which require the presence and
expertise of the Management System Team;
 Provides information on the Management System procedures in case of the
third party audits and/or internal audits;
 Supports organization of the Management Week Event.
Experience
* Computer literate (MS Office);
* Team work, good intrapersonal, social and organizational skills;
* Good analytical skills;
* Punctuality;
* Knowledge of the management system standards and structure, focusing on the documentation requirements.
* University Degree in any discipline (preferably technical or natural sciences)
* At least ‎1 year in any management system implementation in the previous job
* English Fluency
